Create and schedule a job
Make a job when a customer calls, or book one from something that asks for it - a request, a visit owed, a callback or an import. Then put it on somebody's day. That is when it reaches their phone.
Steps
- Make the job, in whichever of these ways fits:
- A customer on the phone. Click Jobs, then New job. Under Customer, choose On file and find them by name, number, contact, email or phone, or choose New customer and type their details. Type What is wrong, or what it is, and anything else under Scope of work and notes. Choose the Priority and Where the work is - or Another address. Give it a Day, Start time and How long if you know them. Click Make the job.
- A request. Click Requests. Under Book for, choose the customer, or leave it on a new customer. Click Book it.
- A maintenance visit. Click Maintenance. Under Visits owed, click Book it.
- A callback on a unit. Open the unit and click Book a callback.
- Jobs from your old system. Click Import, choose Jobs, and import the file after your customers.
- Click Dispatch. The new job is in Needs scheduling at the top - no day, or nobody on it. A job made with a day waits there at that time.
- Drag the job onto a technician's row, on the day you want. To send a whole crew, drop it on the crew's row instead.
- If the day is outside their working hours, you are asked first. Click OK to book it anyway.
- The job is on their phone at its next sync, under Today or Coming up.
Good to know
- The board will not double-book anyone, or put a job on a day they are off. Not booked: says why.
- If nobody on the job has a skill it needs, it is still booked, and the board says which skill is missing.
- To take a job off somebody, drag it back to Needs scheduling.
- The phone syncs when it is opened, and every minute while it is open.
- A job with a day starts as Scheduled, under Active on the Jobs tab. One without a day starts as New, under Pipeline.
- If a new customer has the same name as one already here, you are asked first. Open the one on file, or click It's a different customer.
- Making a job or booking a request for somebody new makes the customer as well. A request with an online quote also puts an estimate at that price on the job.
- The Jobs tab shows every job under Pipeline, Active and Closed. Click one to open it.
- Admins, Managers and Dispatchers make, book and schedule jobs, and see New job. A Salesperson can book requests too.
- If your company has connected its CRM, a won deal becomes a job by itself.
