Build your price book
Estimates and bills are made from your price book. Technicians quote from it on the phone and never see what anything costs you.
Steps
- Save your price list as a spreadsheet with a row for each item: its name and price, and its cost, type, category and code if you have them.
- On the web, click Import in the menu, under Settings.
- Choose Price book, choose your file, then click Show me what it will do.
- Check the preview. Fix any column in the wrong place under Which of their columns goes where.
- Click Import. The button says how many rows it will bring in.
- Click Catalog in the menu to see the whole price book.
A few items at a time
- On Catalog, click Add item.
- Type its Name and choose its Type. Type the Price, and the Cost if you know it. The margin shows as you type.
- Add a Category, Labor hours, Brand or Model if you want them. More details has the supplier, list price and barcode.
- Click Add item.
- To change an item, click it, change what you need, and click Save. Undo puts back what it was before you saved.
- To stop offering an item, click it, then Retire. To see it again, tick Show retired items, then click Bring back.
Good to know
- On Catalog, search by name, brand, model, SKU or supplier, or choose a type from the list beside the search.
- Margin is worked out from cost and price each time, so it always agrees with them.
- A new price is used on quotes and bills from then on. Estimates, change orders and invoices already written keep the price they were written with.
- A retired item is not offered on new estimates, change orders or the phone's price book. It stays on everything it is already on.
- Admins, Managers and Dispatchers change the price book. Others can read it.
- An item without Installed on site ticked, such as labour, stays off the technician's list of equipment to install on a job.
- Technicians cannot open the Catalog tab. The phone shows them prices only.
- The phone keeps a copy of the price book from its last sync. When an estimate reaches the office, it is priced again from the price book as it is now.
- Importing the same file again adds nothing twice.
