Add customers, or import them from a spreadsheet
Bring your customer list over from a spreadsheet in one go, or add customers one at a time. Nothing is imported until you have seen what will happen.
Steps
- Export your customer list from your old system, or save your spreadsheet as a CSV file. A CSV, XLSX or TXT file works.
- On the web, click Import in the menu, under Settings.
- Choose Customers.
- Choose your file, then click Show me what it will do.
- Read the preview. Each row says new, linked, skipped or not imported, and why.
- If a column landed in the wrong place, open Which of their columns goes where and choose the right one. Choose - not in this file - for anything your file does not have. The preview updates as you go.
- If the file did not come from one of the products listed under From, choose Another product.
- Click Import. The button says how many rows it will bring in.
- Click Customers in the menu to see them. Search by name, number, contact or email, and click a customer to open them.
One customer at a time
- Click Customers, then Add customer.
- Type their Name, and choose the Kind. Add a Contact name, Email and Phone if you have them.
- Type the address the work is at: Street, City, State and ZIP. Add Access notes for the technician - a gate code, a dog.
- Click Add customer. They get a customer number, and the address is their primary one.
- To change something later, open the customer and click Edit, then Save.
- To add another place they own, open the customer and click Add another address. Click Make primary on the one their jobs should go to first.
Good to know
- Do customers first, then their jobs, then the price book. Jobs are matched to the customers already here.
- Importing the same file again adds nothing twice. If an import stopped half way, run the same file again to finish it.
- A row with the same email as a customer already here is linked to them, not added again. A row with only the same name is added as a new customer, and the preview says so.
- Rows marked not imported can be fixed in the file and imported again.
- Only an Admin or a Manager sees the Import tab.
- If a customer with the same name is already here, you are asked first. Open the one on file, or click It's a different customer.
- Admins, Managers, Dispatchers and Salespeople add and edit customers.
- Changing a customer or an address does not change jobs and bills already made for them. They keep the details they were made with.
- A customer also comes in when you make a job or book a request for someone new, and from the guided setup's Bring your customers over step.
- Open a customer for their service addresses, job history, billing terms and the link to their own page.
